HVAC has a cost that arrives after the invoice: the callback. The system that needs balancing again, the control nobody explained, the fault that is under warranty. It is not optional and it is not rare, and if there is nothing set aside for it then it comes straight out of the profit on the job that caused it.

This puts a line in for it. Alongside equipment at your cost before markup, refrigerant and line set, and commissioning — the charging, balancing, controls and handover that regularly disappear into ‘part of the job’ despite being hours of skilled work.

Underneath is proper costing: labour at its burdened cost rather than the wage, materials with waste, travel at what the van really costs per mile, and overhead recovered from a monthly figure spread over hours you can actually bill.

And it checks your reasoning. Overhead charged twice, a wage used as a cost, margin and markup mixed up, a margin thin enough that one return visit turns the job into a loss — each one is named, in a sentence, with what it is costing you.

The customer quote and the internal costing print separately and always have. One shows the price and the scope; the other shows everything you would never want a customer to see.
